FAQ
Registration
Q- How much will the whole weekend cost?
A- An SCA member coming for the whole weekend, eating all meals, and residing in a lodge would cost $125.00.
$30 weekend site fee
$15 Friday night dinner
$10 Saturday lunch
$15 Saturday night dinner
$10 Sunday lunch
$20 Sunday feast
$25 Lodge accommodation
You can lower those costs by electing a rustic cabin or platform tent ($15 savings), or by skipping one or more of the provided meals (for example, if you are not arriving by suppertime on Friday). Breakfast is included Saturday through Monday with the site fee.
There is no additional fee for bringing your own tent, but suitable camping areas may be hard to find as it is a wooded, fern-y area other than the few areas which are open grass.
Q- I’m traveling with my partner/spouse. Should we register as a “group” registration?
A- Yes. Please register as a group if you want to be sure to be accommodated together, even if you are a party of two.
Accommodations
Q- What are the amenities for the rustic cabins and platform tents? How far away are the showers?
A- That varies from area to area. All the camping areas have cold-water washing stations and outhouse facilities, most of which are central to the grouping. The ground has variable levels of overgrowth and some areas are on flatter land than others (essentially, if you’re close to the lake, it’s more flat). Explorer is closest to the shower house.
Q- What’s the ground like for tent camping?
A- It depends on where you set up your tent, but generally the ground has lots of ferns, trees, and rocks. The only grassy areas are around the Explorer camping area or up near Gladstone and the STEM building.
Q- What is the weather like for camping?
A- Typical temperatures range from a high of 75℉ / 24 ℃ to overnight lows of 55 ℉ / 12.5 ℃.
The site is in the foothills, so weather can be unpredictable.
Q- How can I get there from the airport? What are the best options?
A- The airport is a fair distance from the site, but there are a few options. We strongly recommend working with others who may be flying in to coordinate flight times and consider renting a car together. Or connect to someone who is driving in who can divert to the airport to pick you up. If neither of those options are possible, we do have a few volunteers who are willing to provide shuttle service.
Q- Where are the closest off-site accommodations?
A- The nearest hotels are in Binghamton. Travel times to the site will vary and you will need your own transportation.
Air B’n’B may also be an option if you have to stay off-site, but travel times to the site will vary and you will need your own transportation.
Please see the Local Info tab on the website for the specific information on hotels and other accommodations, as well as other services and attractions locally.
Cookery
Q- I have an idea for a class or meal, but I don’t know all the answers on the proposal form. Can I still submit my idea?
A- Yes! Submit it anyway. Very few of the questions are “required” to be answered, especially at this time. We want your ideas! We’ll work with you to fill in the details.
Q- I have an idea for a class or meal, but I don’t know if it’s already been proposed. What should I do?
A – Submit it anyway! We will confirm all the classes and if there’s a duplicate, we’ll work it out!
Q- I have ideas for a handful of dishes, but not sure about a whole feast. Can I still propose a meal?
A- Yes, absolutely! There are many options if you only want to make a single dish or a small number of dishes. These include lunch, or contributing to one of the small dinners, or contributing to the celebratory feast on Sunday. Fill out the meal proposal form with your ideas!
Q- I’d love to do a feast, lunch, or cooking class, but I live far away. How can I make sure I have the right equipment (and all the food)?
A – No problem! The site has extensive larders of cooking equipment, and we have a Provisioner to help purchase all the fresh ingredients that will be needed for the meals all weekend. We just need your menu and equipment list in advance. See the class and meal proposal forms for more information and to provide specifics. We will also be in communication with all our cooks ahead of the event to confirm menus and available supplies.
Q- I want to cook over the outdoor grill or an open fire, but is there preparation space? What about water?
A- All the outdoor grills have covered picnic pavilions and several have an enclosed pavilion area with picnic tables and in some cases, an additional wood-burning stove. All the camping areas have water spigots.
Bardic
Q- Will there be challenges?
A- Yes–if someone is willing to sponsor them! You can fill out a Volunteer form to propose running one.
Q- Will there be specific themed bardic circles?
A- Yes–if someone is willing to run one! There are 10 to 12 places to host various types of circles. Not just bardic, but there’s even a good place for a hafla, if someone’s interested in hosting it. Fill out the Volunteer form to propose hosting a circle.
Q- What class should I teach?
A- That’s up to you! We have over a dozen spaces for classes about music, poetry, spoken word, and other bardic arts. We guarantee at least one or two coaching sessions, but this is a perfect opportunity to go deep, esoteric, or unusual.
Volunteering
Q- I want to help in the Kitchen, but don’t want to run a feast?
A- Complete the Volunteer Form and we will contact you about when you and how you wish to help.
Q- What staff positions and volunteer positions do you need?
A- See our volunteer page for more information, but there are a LOT of jobs we need to make this event a success. Please fill out the volunteer form and list what you’d be willing to do. We will be very glad for the help!
Miscellaneous
Q- My question isn’t on this list!
A – Well, that’s not a question! But check back as we will add more questions as they come up. In the meantime, you can contact kwcooksbards24(at)aethelmearc.org
